CORE FUNCTIONS OF THE OFFICE OF THE      MINISTER

The Bureau of the Honourable Minister for Foreign Affairs, otherwise refereed to as the Office of the Minister, was set up on 3rd September, 2001 as one of the measures to promote the effective functioning of the Ministry. The Bureau, which also serves the Hon. Deputy Minister, is headed by a Director whose primary responsibility is to ensure the effective and efficient administration and management of the office of the Minister and Deputy Minister.
In this regard, and since all in-coming correspondence to the Ministry are routed through the Bureau, the latter is responsible for managing in-coming correspondence for the attention of the Minister and Deputy Minister, responding to correspondence addressed to the Minister and ensuring the prompt distribution of in-coming correspondence to the various Bureaux, as appropriate.
The Bureau also plays a co-coordinating role, working closely with the various Bureaux to ensure the elimination of overlaps in the Ministry's activities. Activities in this area include liaising with the Protocol Bureau to prepare the daily and weekly schedule of appointments
for the Minister and Deputy Minister, liaising with the relevant Bureaux on the preparation and timely submission of Briefs, Speeches, Speaking Notes, etc., on the subject matter of meetings for the attention of the Minister, and with the Information Bureau on coverage by the print and electronic media of all major meetings and engagements of the Minster. The close co-operation with the various Bureaux is also aimed at ensuring continuous improvement in service delivery.
Additionally, the Bureau works with the Director of State Protocol to plan and prepare for visits abroad by the President and/or the Minister. During these travels, the Bureau covers the Minister's bilateral and follow-up meetings.
